What Tax Documents Do You Actually Need? A Complete NYC Checklist

Walking into a tax appointment unprepared wastes time and money. Here is exactly what to bring and why each document matters.

One of the simplest ways to make your tax filing faster and cheaper is to show up prepared. When you walk into a tax appointment with everything organized, you spend less time, pay less in fees, and reduce the risk of missing something important.

Here is what you need, organized by category.

For income, you need every W-2 you received. If you worked multiple jobs during the year, you need a W-2 from each employer. These should arrive by January 31. If you did any freelance or contract work, you need any 1099-NEC or 1099-MISC forms you received. If you earned interest from a bank account, you need the 1099-INT. If you received dividends or sold investments, you need the 1099-DIV and 1099-B from your brokerage. If you are a partner in a business or an S-Corporation shareholder, you need your K-1.

For deductions and credits, bring documentation for anything you plan to claim. If you are claiming a home office, have the square footage of your workspace and your total apartment size ready, along with your annual rent or mortgage statements. If you paid mortgage interest, your lender will send you a Form 1098. Bring records of any charitable donations — receipts for cash gifts and descriptions of any donated property. If you paid student loan interest, the servicer will send a 1098-E. For childcare expenses, bring the name, address, and tax ID number of your provider.

For healthcare, bring proof of health insurance coverage, Form 1095-A if you purchased insurance through the marketplace, and records of any significant medical expenses you paid out of pocket.

For business owners and self-employed people, bring your profit and loss summary for the year, records of business expenses organized by category, mileage logs if you use a vehicle for business, and any receipts for equipment or software purchases.

Finally, bring last year's tax return. This sounds basic but many people forget. It contains information your preparer needs — your prior year adjusted gross income for e-filing verification, carryforward amounts from investment losses, and depreciation schedules for rental properties or business assets.

The more organized you are when you arrive, the faster the process goes and the better your outcome. We always tell clients: a shoebox of receipts is better than nothing, but a spreadsheet is better than a shoebox. Take even one hour before your appointment to organize what you have and it will pay for itself.
